Matching invoices and receipts to bank statement CSV rows

Published 19 October 2026 · by Tekiba

Short answer: Put your invoices and receipts in one list and the bank CSV in another. Match the exact amounts within a few days first, then the known differences: a fee taken off the payment, a deposit that arrives days later, one payment for several invoices, a part payment. Write the invoice number against each row in a column of your own. Whatever is left is the work: invoices nobody has paid, and bank lines with no document behind them. Where the invoices are already in your accounting software, let its matching do the routine part, and use the CSV for what it cannot see.

How QuickBooks Online, Xero and Wave match bank lines is from their own help pages, and what records to keep is from the IRS's and HMRC's, all read on 19 October 2026.

Why match at all

The invoice says what a payment was for; the bank line says it happened. The tax agencies want both. The IRS lists what supports your books: “Supporting documents include sales slips, paid bills, invoices, receipts, deposit slips, and canceled checks.” HMRC's list of proof for the self-employed puts the two side by side: “all receipts for goods and stock”, “bank statements, chequebook stubs” and “sales invoices, till rolls and bank slips”.

Matching also stops the same money being recorded twice. Intuit explains what a match does in QuickBooks: “This links them together so you don't get duplicates.”

Set up the two lists

From your invoicing tool or a folder of receipts, make a list with the document number, date, who it is from or to, and the amount. Open the bank CSV beside it and add three columns of your own at the right: Matched to for the invoice or receipt number, Difference for any gap, and Note. Do not change the statement's own columns.

Match in this order

  1. Exact amount, close date. Most lines match on these alone. Accounting software starts in the same place: QuickBooks' suggestions “will be the same amount as and from a similar date range as the downloaded transaction.”
  2. A reference in the description. Many customers put your invoice number in the payment reference, and many suppliers' names on the statement carry their own. Search the description column for the number before searching by amount. Xero's search works the same way: “To find the transactions, search by name or invoice number. You can also search the amount, reference or cheque number”. Asking customers to quote the invoice number when they pay makes this step most of the work.
  3. A fee taken off. A card processor, a payment service or an overseas bank can take its charge before the money arrives, so the deposit is less than the invoice. Intuit describes the card case: “the payment amount that shows on the bank register will not match the deposit amount in QuickBooks Online.” Record the gap as a fee, not as an underpayment by the customer.
  4. A date that lags. A payment made on the due date can reach the account days later, and card settlements arrive in batches. Widen the date window for these, but not the amount.
  5. One payment, several invoices. A customer paying 1,950.00 against invoices of 1,200.00 and 750.00 is one row matched to two documents. Payment services do this all the time; Wave notes that for a payout covering several invoices “the bank transaction will reflect the total amount of funds received rather than a transaction for each invoice paid.”
  6. Part payments. A row smaller than any invoice may be an instalment. Note it against the invoice and leave the rest open.

The lists of what is left

When every row that can be matched is matched, three lists remain, and each is a job.

What the accounting software does, and what it leaves to you

If your invoices and bills are already in QuickBooks Online, Xero or Wave, do the routine matching there, not twice.

What the software leaves to you: documents that are not in it yet, lines it will not suggest because the amounts or dates differ, and older lines. Intuit lists reasons a match is not found, among them “The amounts or dates don’t match.” and an age limit that its regional pages state differently. The matched CSV is also the record you can hand to someone who does not use your software.

Make it part of the month

Matching belongs between importing the month's CSV and reconciling it, so that each line is linked to its document before it is categorised. A monthly bookkeeping routine with a bank statement CSV puts the steps in order. Once matching is done, reconciling a bank statement CSV with your accounting software checks the account against the statement's closing balance.

Where LedgerDrop fits

When the statement is a PDF, LedgerDrop turns it into a CSV in your browser and checks every row against the balances the statement prints; the statement is not uploaded. Its CSV keeps each row's date, description and signed amount, so a reference printed in the description stays searchable, and columns you add at the right do not disturb it. It does not read your invoices or match them. LedgerDrop Pro writes the layouts QuickBooks Online, Xero and freee ask for, for the copy you import.

Convert a statement → Every row, checked against the printed balances, free at any length; the CSV is free for files of up to 3 pages. LedgerDrop Pro is $39 once.

What this page cannot tell you

This page is not tax or legal advice. Nor can it tell you how your customers write their payment references, how a particular processor or bank takes its fee, or how to treat a payment that does not fit any invoice, which is for you and your accountant. Menus and limits in QuickBooks, Xero and Wave change between versions and regions.

Questions

Why doesn't the deposit match the invoice amount?

Usually a fee taken off before the money arrived, a payment covering several invoices, or a part payment. Record a fee as a fee; QuickBooks and Xero both have a way to add it while matching.

How do I match one payment to several invoices?

Find the invoices whose totals add up to the payment and match the row to all of them. In QuickBooks Online tick each one; in Xero use Find & Match and select several.

Should I match in a spreadsheet or in my accounting software?

In the software, when the invoices and bills are already there; it links them and avoids duplicates. Use the spreadsheet for documents not yet entered, lines the software will not suggest, and a record to share.

What do I do with bank lines that have no invoice or receipt?

Find the document. Until then keep the line open: money in may be a sale whose invoice is missing, so treat it as a transfer, refund or loan only with evidence. For money out, the IRS says supporting documents should show the amount paid and that it was for a business expense.
